Selecting formatting options for your transcript can be quite daunting, especially if you are having your audio files transcribed for the first time professionally. We believe many researchers may require unusual formatting or custom-made templates specific to their unique needs or even the requirements of qualitative analysis software. To help you navigate the options we have listed some tips below on how we usually define, categorize and then produce research transcripts. From the options available, you can easily choose the formatting and cost of your transcriptions to suit your needs – and more importantly – your budget.
Generally speaking, transcription services for research can usually be divided into two categories – Focus Group Transcription and Interview Transcription. Conversations between one and maximum three people will usually fall under the category of Interview Transcription. Conversations between larger groups of people will be more complex, with Focus Group Discussions usually consisting of a large number of speakers/participants.
Speaker Identification v Speaker Differentiation
EIS uses a standard format for research transcription in both identifying as well as differentiating speakers on an audio or video tape.
Interview Transcription – files with 1 to 3 speakers
Interviewees and interviewers are always identified as precisely as possible. Unless the client instructs explicitly to use the names mentioned in the transcript, our transcribers will differentiate speakers as either interviewer or interviewee as appropriate. If there are two or more interviewers or interviewees, these will be further separated by gender; for instance – Interviewer, Male 1, Male 2.
Focus Group transcription – recordings with 4 & more speakers
For regular focus group transcription we identify interviewers and interviewees, but not between individual interviewees other than by their gender. The interviewees will be named simply as male or female. The reason we follow this style is because over the course of the last several years we have seen that the majority of our clients signing up for focus group transcription services prefer it this way as they are more interested in the content of the group discussion and the accuracy of capturing its essence, rather than concentrating on which speaker commented and what he/she commented on.
If you would like speakers to be identified or differentiated in any manner, adding a note in the comments section when you upload your files would greatly assist our transcription team. If you want to see names being used in your transcript instead of numeric identifiers (i.e. Male 1, Female 2, etc.), please provide us the specific speaker names, either within the comments/notes section a separate speaker log along with your audio/video recording. This would help our transcribers to ensure the speakers’ identity is captured as accurate as possible.
In case of recordings that have large focus groups and where no speaker log or speaker identification info is provided, we would only be able to identify/differentiate speakers numerically and this might lead to some reading confusion for the client due to large number of speakers. Of note, additional charges may apply whenever numerical speaker identification is required. So please reach out to us to discuss specifically about your requirements before we initiate transcription.

Good dissertations generally are not just a compilation of research notes and findings but also contain scholastic inputs by the author. When dissertation transcend from being just a bunch of copied and collated findings to a well-analyzed description of the subject being discussed, the authors are always recognized & rewarded by their universities. While a dissertation is a report that highlights the student's expertise, it can also be considered a binding agent that brings together information & it’s relevance from different sources. A thesis, however, is expected to be original research work. While both need to be collated from established data, a thesis is given more importance than a dissertation. Both theses and dissertations are imperative for PhDs and doctoral programs.
University students have to work constantly on tight budgets and so it often becomes costly and time consuming to rigorously & cogently transcribe research material from various sources such as video & audio recordings, one-on-one interviews, audio & video footage of conferences and seminars, handwritten notes, and webcast/webinar downloads. When the students outsource this thesis/dissertation transcription process to an external agency, not only do they save money but can also cut down on time taken to compile and prepare the final report. EIS provides a vast range of transcription services and, having worked with several universities, educational & training institutions and with students around the world, we have in-depth knowledge & experience in helping them produce timely & very high-quality research transcripts and doctoral theses in not just STEM (science, technology, engineering & mathematics), but in other fields as well like medicine, arts, architecture, business, sports, etc.

One-on-one interview signifies when one individual interviewing another, usually a sit-down interview & face to face, or sometimes a telephonic interview. The common type of interviews which fall under one-on-one interviews are job interviews, interviews with sport stars, celebrities, politicians, etc. These are generally broadcast on radio and television or published in journals and magazines. Interview transcription services involve documenting everything that the interviewee says, though the interviewer’s questions can be suitably paraphrased. Based on your requirements, the service provider can transcribe a true verbatim or a clean verbatim document.
Clean Verbatim – In an audio recording, when the interviewee responds the content is captured word for word, but we discard the non verbal utterances such as 'uh..' and 'hmm', 'st-st-stutters', and 'double- doubled' words. Of note, our default transcription falls into this clean verbatim transcription type.
True Verbatim - the ‘uhs' and 'hmms’ and 'st-st-stutters' and other nonverbal utterances of the interviewee are also transcribed. A representative number of such utterances are transcribed in such documents that need true verbatim.
"If someone says, "I uh…ah...hmmm…uh… just…uh….just came back from work."
"This sentence would be transcribed as, "I uh... just…uh…came back from work."
If True Verbatim for your documents is needed, please explicitly specify so before initiation of transcription. You can indicate that you would like "True Verbatim" in the comments/notes section during file upload
Please note that True Verbatim is not available on poor quality audio/video recordings or audio that have excessive background noise.

Wikipedia says that a Focus Group is a form of qualitative research where a group of people answer questions about their opinions, attitudes, beliefs and perceptions towards an idea, product, concept, service, advertisement or packaging. In an interactive group setting participants are asked questions and they are free to talk with members of other group. Focus Group transcription services are usually offered for university students, paralegals & attorneys, real estate management professionals, market researchers, medical scientists, professionals, etc.
Please see below for the broad types of focus group transcription that we have handled so far for our clients:
In addition to the above, we have worked on Group Discussion Transcription projects that have been highly advanced and academic for doctoral students, university researchers, lecturers’ conferences, department specific seminars, other academic conferences, and a wide variety of discussions held in schools, colleges, technical training institutes, universities etc.
The main differentiating factor between EIS and other transcription service providers is that we have our own professional EIS from the academia to assist our transcription team helping us in achieving perfection in documentation, by deploying their experience and vast knowledge in relevant fields in addition to our transcribers’ own transcription and technical expertise. We only employ authentic academic transcription professionals that have the requiste knowledge base and a broad range of academic vocabulary to accomplish highest standard of accuracy in academic group discussion transcripts. While we acknowledge that Group Discussions & especially Focus Group Discussions are events where speakers usually use specialized terminology, with our well-trained pool of academic professionals and transcriptionists we can guarantee 99% accuracy in our finished transcription products on a consistent basis.
The main challenge that transcribers face in transcribing content from Group Discussion audio or video recordings is that there are several speakers and some of them often speak simultaneously. Identification of Group Discussion and Focus Group participants is very important in order to precisely document not just what was said, but also who said what. In order to achieve higher accuracy, we request our clients to provide us with the speakers’ names before initiation of transcription project. Also, any handout copies, minutes of meeting, course syllabus, presentation slides or other material that could have been used during the Group Discussion would help as reference contents for our transcription team.
Please visit our Transcription page to learn more about what file types & formats we handle. If the Group Discussion has been video recorded, it will be much easier to differentiate speakers and precisely identify them in the Group Discussion transcript. We use Clean Verbatim Transcription as the default transcription format for group discussions. But on further specific requests of our clients, we also offer the following services – Edited Text Transcription, True Verbatim Transcription, Custom Formatted Transcription and Summarization Transcripts. Upfront we would request you to please specify your formatting requirements, so that it could be fully incorporated in the final transcript.
In addition to the above, EIS also offers transcription of group discussions and focus group meetings through webinars, podcasts, or webcasts. The power and simplicity of webcasting in live debates , broadcasting conferences, as well as in conducting remote teaching sessions to impart training lessons to students is huge. Companies around the world are increasingly using webinars to conduct daily business, conferences, team meetings and for strategizing. Their demands for documentation & follow up are also varied.
To keep up with our clients’ requirements, EIS also offers Excerpts Transcription, which is summarization of the content, either in plain text or in bullet points. This could be done separately or as an additional service to the standard full transcript based on the customer’s preference, which is then uploaded to a client specified website that hosts the audio or video recording. Depending on our client’s needs, we also offer subtitling or captioning of the embedded webcast or webinar, which will immensely help our clients in generating more interest & understanding of content among the visitors.
